Description

Our client in the NGO sector is seeking an Admin & Logistics Officer to support an anticipated international donor-funded Inclusive Africa Program (IAP). The IAP is a five-year, multimillion-dollar regional initiative that aims to create socio-economic opportunities for young men and women with disabilities in Kenya, South Africa, and Ghana through enhanced digital accessibility. The program's strategic objective is to cultivate an environment that enables young individuals with disabilities to access digital economic opportunities by advancing digital accessibility policy, facilitating stakeholder engagement, driving digital innovation and entrepreneurship, amplifying youth voices, and establishing industry best practices.

Requirements

  • Bachelor’s degree in business administration, logistics, supply chain management, or a related field.
  • A minimum of 5 years of relevant experience in administrative and logistical support roles, preferably within an international organization or program.
  • Experience in procurement processes, including reviewing supplier contracts and ensuring compliance with organizational policies.
  • Experience in organizing events, workshops, and conferences, including coordination with hotels, travel arrangements, and participant management.
  • Competent in using Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant administrative tools for scheduling, communication, and data management.
  • Uphold high ethical standards in negotiations and procurement processes, ensuring value for money and compliance with financial policies.
  • Ability to anticipate logistical challenges and proactively find solutions to ensure events and activities run smoothly.

Responsibilities

  • Ensure efficient, effective, responsive, transparent, and accountable provision of administrative services to support the team in the implementation of the activities.
  • Coordinate conference, workshop, and training events as required, including hotel liaison, participant confirmation, invitations, travel arrangements, supplies and materials, equipment hire, supporting events, and participant contacts.
  • Coordinate and provide logistical support for program activities, including travel arrangements, visas, field visits, and counterpart visits.
  • Provide administrative support to team members, including recording and preparing minutes of meetings.
  • Support in reviewing supplier contracts.
  • Understands and puts into practice the responsibilities under safeguarding policies and the International Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures.
  • Support in the procurement and negotiations of various services within the set policies and guidelines.
  • In line with the program budget and working closely with the finance team to ensure value for money of all procurements for program activities carried out in the state in line with the finance policy.
